A break-even calculation shows how much you must sell before the business covers its costs. This guide explains the formulas behind a break even calculator, separates fixed and variable costs, and provides a repeatable worksheet for freelancers, service businesses, and product sellers.

Overview

Break-even is the point at which total revenue equals total costs. Below that point, the business is operating at a loss; above it, each additional sale contributes to profit after its variable costs have been covered.

A useful small business finance calculator should answer four related questions:

  • How many units, projects, or billable engagements are needed to break even?
  • What monthly or annual revenue represents break-even?
  • What sales volume is needed to reach a target profit?
  • How do pricing, costs, and profit margin affect the result?

The calculation is a planning tool, not a forecast. It works from the assumptions you enter, so the quality of the result depends on how carefully you classify costs and choose a realistic sales unit.

For example, a product seller may use one item as the unit, while a freelancer may use one project or one billable hour. A service business could use a monthly client, a completed job, or a service package. Choose the unit that matches how you price and track sales.

How to estimate

Start with the contribution margin. This is the amount from each sale that remains after the costs directly linked to that sale have been paid.

Contribution margin per unit = selling price per unit − variable cost per unit

Then calculate the contribution margin ratio:

Contribution margin ratio = contribution margin per unit ÷ selling price per unit

Once those figures are available, use the formula that fits your decision.

Break-even units

Break-even units = fixed costs ÷ contribution margin per unit

If the result is a fraction, round up to the next whole unit. A business cannot usually sell part of a product or complete part of a project, so rounding down would understate the required sales volume.

Break-even revenue

Break-even revenue = fixed costs ÷ contribution margin ratio

This version is useful when your sales mix includes different products or services and you are working with an average contribution margin. If the mix changes significantly, calculate each offer separately or create a weighted average based on your expected sales mix.

Target-profit sales volume

Target-profit units = (fixed costs + target profit) ÷ contribution margin per unit

For revenue rather than units:

Target-profit revenue = (fixed costs + target profit) ÷ contribution margin ratio

The target profit should be stated for the same period as the costs. If fixed costs are monthly, use a monthly profit target. Mixing monthly costs with an annual target will produce a misleading result.

These formulas can be placed in an online break even calculator, a spreadsheet, or a simple worksheet. The advantage of a reusable business calculator is that you can change one input at a time and see which assumption has the greatest effect.

Inputs and assumptions

Before calculating, define the period and the sales unit. A monthly break-even model is often easier to maintain, but an annual model may be more appropriate for seasonal businesses. Do not combine periods in the same calculation.

Fixed costs

Fixed costs stay broadly the same within the period being modeled, regardless of the number of units sold. Possible examples include rent, core software subscriptions, insurance, accounting fees, base salaries, equipment payments, and planned owner compensation.

Some costs are only partly fixed. For instance, a software plan may have a base fee plus a per-user charge. Split the base fee into fixed costs and the usage-based portion into variable costs.

Variable costs

Variable costs rise as you make or deliver more sales. Examples include materials, packaging, shipping, subcontractor payments tied to a job, sales commissions, transaction fees, and usage-based software charges.

Use the cost that applies to the sale, not the total amount paid during the month. If a payment processor charges a percentage of revenue, estimate that fee as part of the variable cost. If it also charges a fixed fee per transaction, include that fixed amount too.

Price and taxes

Enter the price on a consistent basis. If you are comparing profitability, a price excluding VAT or similar sales tax is often easier to interpret when that tax is collected and remitted rather than retained as business revenue. Tax treatment varies by location and business structure, so use the basis that matches your bookkeeping and obtain professional advice where needed.

Do not confuse markup with profit margin. A markup calculator compares profit with cost:

Markup = (selling price − cost) ÷ cost

A profit margin calculator compares profit with revenue:

Profit margin = (selling price − cost) ÷ selling price

For example, a product that costs 60 and sells for 100 has a 66.7% markup but a 40% gross margin. Both measures can be useful, but they answer different questions.

A repeatable worksheet

  1. Choose the period, such as one month.
  2. Choose the sales unit, such as one project, product, or billable hour.
  3. List fixed costs for that period.
  4. Estimate the selling price per unit.
  5. List every variable cost per unit.
  6. Calculate contribution margin and contribution margin ratio.
  7. Calculate break-even units and revenue.
  8. Add a target profit to calculate the required sales volume.
  9. Test a lower-price, higher-cost, or lower-volume scenario.

Keep the supporting assumptions beside the result. A break-even number without its period, price basis, and cost definitions is difficult to review later.

Worked examples

Freelancer pricing by project

Suppose a freelancer charges 1,200 per project. The variable cost of each project is 120 for project-specific tools, payment fees, and purchased materials. Monthly fixed costs are 2,700.

The contribution margin is 1,200 − 120 = 1,080. Break-even projects are 2,700 ÷ 1,080 = 2.5, so the freelancer needs three projects in the month to cover these costs.

To target 1,500 in monthly profit, use (2,700 + 1,500) ÷ 1,080 = 3.89. The practical target is four projects. This result does not mean four projects are automatically available or that the workload is sustainable. Check it against available working hours, delivery time, and realistic demand. Service business by completed job

A service business charges 850 per job and incurs 250 in labor and materials that vary with each job. Monthly fixed costs are 6,000.

Contribution margin per job is 850 − 250 = 600. Break-even volume is 6,000 ÷ 600 = 10 jobs. The contribution margin ratio is 600 ÷ 850, or approximately 70.6%, so break-even revenue is approximately 6,000 ÷ 0.706 = 8,499.

If the business wants 3,000 in monthly profit, it needs (6,000 + 3,000) ÷ 600 = 15 jobs. This is a useful pricing check: if 15 jobs exceed operational capacity, the owner may need to raise the price, reduce variable costs, increase capacity, or revise the profit target.

Product seller by item

A product sells for 48. The item cost is 19, packaging is 3, and the average transaction fee is 2. The total variable cost is 24, leaving a contribution margin of 24 per item. If monthly fixed costs are 4,800, break-even volume is 4,800 ÷ 24 = 200 items.

The product’s gross margin before other fixed costs is 24 ÷ 48 = 50%. If the seller wants 2,400 in monthly profit, the target volume is (4,800 + 2,400) ÷ 24 = 300 items.

Use care when applying an average figure to several products. A high-margin item and a low-margin item may have the same selling price but very different contribution margins. Record the expected sales mix and recalculate if customers begin buying a different combination.

When to recalculate

Revisit the model whenever a core input changes, rather than waiting for an annual planning cycle. At minimum, update it when you change prices, renegotiate supplier costs, add a recurring subscription, hire someone, change payment fees, or introduce a new product or service.

Recalculate after a few periods of actual results as well. Compare estimated variable costs with real costs, and compare the assumed sales mix with what customers actually bought. If the difference is persistent, replace the assumption instead of treating the original estimate as a permanent benchmark.

Seasonality also matters. A monthly break-even target based on an average month may not fit a business with strong peaks and troughs. Consider a month-by-month cash plan alongside the break-even calculation. An expense tracking system can make recurring, one-off, and usage-based costs easier to separate.

Use this short review process:

  1. Export or review the latest revenue and expense records.
  2. Check whether each cost is fixed, variable, or mixed.
  3. Update prices, fees, wages, materials, and recurring expenses.
  4. Run break-even and target-profit scenarios.
  5. Compare the required volume with capacity and likely demand.
  6. Record the date, assumptions, and decision made.
